Screen Num 1

This is the main menu of PAYUSA.COM .   This program acts as an overall menu by
running PAYUSEDT.COM when the F2 option is selected, and running PAYUSBAT.COM
when the F3 option is selected.  If run from here those programs will return to
this menu when Exit is selected.  The other functions are done in PAYUSA.COM -
most important is the F1 Configuration set up - let's look at that next.

Screen Num 2

This is the Configuration Menu of PAYUSA.COM .  The program comes with built in
defaults and you can customize them from here. You only need reselect this menu
when something changes.  Any alterations are effective immediately and apply to
all employees.  We will take a look at them one option at a time starting with
F1 - screen colors  and other items relating to the computer.

Screen Num 3

This is the sub menu for configuration of items relating to the computer.  When
you run PAYUSA.COM for the first time the F2 (Disk Set Up) and F4 (Copy Test
Files) options will be forced on you without going through this menu.  The
screen colors  option checks your computer first to see if you are using a Mono
or Color  Card, and if color  whether color  is enabled.  More on next screen.

Screen Num 4

You only get a color  choice if your equipment is capable of it.  We will look
at an example later.  The above is the screen for setting up Disk and Printer.
The notes on the screen are self explanatory.  There is a run control flag in
the configuration file which will cause you to be reminded if you appear to be
using the wrong file.  The line editor is quite sophisticated and some (..more)

Screen Num 5

notes on it are available by pressing F1 while it is in use.  Because we are
using directories and some people are unfamiliar with them (or DOS in general)
we provided the above screen to automatically set up the required directories
(as specified on an earlier screen) and copy the supplied test PAYUSA.DTA
employee file into them.  (There are 26 employees to play with on that file.)

Screen Num 6

We identified and provided named fields for most common pay and deduction items
but in an attempt to be all things to all men we also provided miscellaneous
fields.  You can change the screen prompts for these items to say whatever you
want them to say.  The DEDUCTIONS can either be a flat $ amount or can be a %
of pay, at your option. California Companies may want to use Ded. 1 % for SDI.

Screen Num 7

This is the sub menu for setting up the basis on which your employees are paid.
Whatever you set up here will apply to all employees who are eligible for that
item.  As we will see later, the individual employee records have 'flags' in
them which modify what they are eligible for.  Let us take a tour through the
options F1 to F4 on the above screen and explain in more detail as we go.

Screen Num 8

This is where we set up overtime.  We tried to be user friendly all through the
PAYROLL USA system so you will often find helpful on line notes such as those
on the above entry screen.  There is little we can add to this one.  The bright
bar over the 1820 is the cursor.  It can be moved around the screen with the
arrow keys or WordStar compatible Ctrl key combinations.

Screen Num 9

Shift premiums apply mainly to industrial workers.  The employee entry screens
provide space for entry of hours in each category.  If you don't pay shift
premiums then when updating hourly paid employees put all hours worked in the
REG DAY SHIFT space and make sure the corresponding rate entry on this screen
is zero. (The rates shown here are added to the regular hourly rate ).

Screen Num 10

You don't have to use the Vacation Accrual fund if you don't want to (usually
salaried people dont need it because they are paid as usual while on their
vacation).  However, if you do use it then this screen determines what types
of pay are to be included in the calculation of the fund.  There is another
screen just like this one which relates to Sick Accrual.

Screen Num 11

This is where you can enter the details about your Company.  Information from
here is used in printed reports.  Note that we have allowed for the newer long
zip code format.  You may also continue to use the older 5 digit zip code.  The
same applies on the employee entry screens.


Screen Num 12

Now we can take a look at how the tax tables are maintained.   For the time
being Anthistle Systems will maintain the Federal Tax Table and send you a
fresh copy of the PAYROLL USA system each year (possibly other enhancements
also built in) - that is included in your annual U.S. $25.00 update fee.  But
you have to maintain State and Local tables yourself.  Let's see how.

Screen Num 13

This Screen gives you some information about State Taxes, before going into
the entry screens.  Please read it.




Screen Num 14

Here we enter the name of the State (for printing on W2 forms).  Also,
different States have tables for different Marital Status.  Here you select
which are valid for your State.  The employee entry screens will be edited
according to your answer here.  You will also have to ensure, on the later
screens, that tax tables are correctly entered for the status selected.

Screen Num 15

Details about SUTA and SDI .  THE DEFAULT SUTA RATES ARE INCORRECT, be sure to
change them.  Most States are experience rated, and some require a
contribution from the Employee.  We have provided for that possibility.



Screen Num 16

PAYROLL USA has the choice of two different METHODS of calculating State Taxes
- the method used in New York, and the method used in California.  We believe
that most States use one or the other (remember the RATES can be changed).
If your State is different, we would appreciate you sending us a copy of your
State Withholding manual.  Please read the description on the screens.

Screen Num 17

In this case the California Method has been selected and here we enter two of
the required tables.  All the tax entry screens have been designed to look as
close as possible to the printed State manual.   Had the New York Method been
selected a different (simpler) screen would appear here for entry of Marital
Deductions.

Screen Num 19

Here you tell PAYROLL USA how many lines are to be entered / displayed for
the main State Tax Tables.  This is the Annual Exact Calculation Method. Be
sure you are on the right page of the State manual.  If you have a manual
handy you may wish to refer to it to see if you can follow in it how the
next screen is built.  This and the next screen apply to all States.

Screen Num 20

This is the default Single Table for California 1987.   Other tables just like
it exist for Married, Head of Household, etc.  They will be displayed only if
they were selected on an earlier screen as being valid marital status codes.
If you are not in California, or it is no longer 1987, then you will need to
change the rates shown on this series of screens.  They can all be edited.

Screen Num 21

This is the sub menu for configuring Local taxes.  The screens are very similar
to the equivalent State screens, with the addition of the non resident screen.
We used New York City 1986 as the default.  Providing your Local Taxes, if any,
are calculated in a similar way then you can change them from here.  Each
employee can be flagged as exempt if there are no Local Taxes in your area.

Screen Num 22

This is the menu to read the documentation etc. without leaving the PAYROLL USA
system to do so.  The documentation referred to is regular A.S.C.I.I. text,
pre formatted for printing and filing in a 3 ring binder or similar.  Note that
the text and screens you are reading now is not printable (other than with
Shift/PrtSc).

Screen Num 23

We built in a method of customising the "OTHER" screen prompts, but not the
equivalent side titles on checks, pay slips, and pay register reports.
Several customers requested the ability to do this so we have provided a
seperate utility EDTNAMES.COM which will change the report side titles.  It
does so by changing the values embedded in the PAYUSBAT.COM program.

Screen Num 24

This is EDTNAMES in action.  It will rewrite the PAYUSBAT.COM file with your
changes permanently (or until you next run EDTNAMES) made to it.  It should
cause no problems, but keep a backup of the original PAYUSBAT.COM just in case
the unforseen happens (like a power cut in the middle of the rewrite).  You
will have to run this again when you receive a new version from us.

